DOMA was able to solve the pressing needs of the Code Enforcement Offices by increasing document file access.

Background

Established in 1636, the Town of York is located near the southwestern point in the state of Maine.  With approximately 13,500 residents, York County claims to be one of, if not the oldest, counties in America.  The Code of Enforcement Offices houses all documents concerning and related to property within the town (i.e., building permits, site plans, committee rulings).

Challenge

The Town of York’s Code Enforcement Offices were facing frequent and heavy inquiries regarding property information and forms.  While working with an unorganized and inefficient information management system, the office also was faced with limited storage space and physically deteriorating files. The York office needed a solution that decreased traffic, increased the life and availability  of documents and provided a streamlined and simple to use system readily available to the public. All this had to be done while still maintaining productivity and keeping expenditures to a minimum.

Solution

DOMA implemented a document management software as a service (SaaS) system that was able to meet the increasing demands of York citizens by allowing much broader access to documents with fully secure storing and viewing of data, 24 hours a day, 7 days a week. The files were indexed allowing for quick retrieval and viewing via the Internet while decreasing traffic inside the buildings and extending the life of the original paper files. Since its implementation, files have also been moved off-site allowing employees to access the necessary records from remote locations and improving overall workflow.
