the last value of the year, Community. Our focus and commitment during these last two months has been to support the kids at Hope Haven and a local foodbank. DOMA employees have brought in can goods, toys and raised close to $1,000 so far, all of which will be donated to those in need in our community.

DOMA employees attended our yearly Christmas party-Eyes of Hope Christmas Gala- last weekend. Full of music, food, and prizes, this event could not have been as successful as it was without our planning committee, so a big shout out to all of them!

to help the agency improve timeliness for the receipt of private medical records to support a Veteran’s claim for disability benefits. Under this contract, DOMA’s data and document management cloud-based software platform, DOMA ekdb, will serve as the Private Medical Record (PMR) Portal providing all workflow functionality and secure record storage necessary to request, receive, process and transmit medical records to the Veterans Benefits Administration (VBA). “As a veteran owned company, we are keenly aware of how this program will positively impact the claims process and remain committed to serving our veterans and beneficiaries with the highest level of quality and customer care.” says Pat Feliciano, President and co-founder of DOMA. Claims Support Representatives from DOMA will be interfacing with 54 VA Regional Offices, healthcare providers and third party Release of Information organizations from across the country in processing up to 32,500 requests per month. The majority of the work for this effort will be performed in DOMA’s Virginia Beach, VA facility. DOMA Technologies is a veteran and woman-owned small business that specializes in document and content management solutions.

Newport News Public Schools (NNPS) recently awarded DOMA Technologies a contract to provide a cloud based document management platform and document scanning services. Under this contract, DOMA’s Electronic Knowledge and Data Management (EKDB) platform will be used to convert, store and manage Human Resources documents, allowing NNPS to continue moving towards a paperless environment. DOMA will also provide document conversion services for current and archived records at its facility in Virginia Beach, VA. This contract has a period of performance of two years and 8 option years.

Last Monday, Wayne DeAtley (COO) along with Pat Feliciano (President and co-founder) announced the promotion of Don Emerson to Chief of Business Operations and Ian Checcio to Chief of Commercial Sales.

Ian, employee number 005, will be responsible for all commercial sales and growing the commercial side of the business while Don Emerson will be in charge of the day to day operations.

Last quarter, as we highlighted innovation as the second company core value, DOMA presented the “Innovation Challenge”. This “Innovation Challenge” encouraged DOMA employees, customers and partners to submit new and innovative ideas, concepts and processes to make DOMA and our technology platform that much better.

“The majority of the entries were fantastic ideas, which made it very difficult to select a winner. 80% are ideas that need to be implemented and we are gonna figure out a way to make them happen. ”

After all the submitted entries were reviewed, not one, but two winners were selected and announced at Town Hall Meeting last Monday.

The winning ideas were:

ID # 44. Feature that allows our software to send an invitation to a non-user for secure upload.

This feature will allow us to communicate with the outside word and have them communicate with our technology without having to be a user or having to have a user account.

ID # 69. Electronic Site Set Up Form.

This will enhance and ease an other-wise time consuming internal process. Having an electronic site set up form will allow our project managers and sales department to speed up the initial on-boarding process of site configuration.

Three new customers go live!

Tidewater Finance and The Pruden Center recently became DOMA customers. Both sites went live within the past 30 days.

Tidewater Finance came to us because their previous system didn’t allow them to efficiently search for their documents. DOMA’s platform has provided an organized repository where they can manage their documents, create information packages and find all files related to a specific user in a matter of seconds. Five (5) different departments are already using the platform and we are looking to add an additional one, their HR department, very soon. Their Vegas location will also be using DOMA’s technology for all of their departments in the near future.

The Pruden Center recently started using DOMA’s Technology to host and manage student records and employee personnel information. Currently working with them on a data import for archive records, the Pruden Center will also be using our Technology for day forward conversion. The Pruden Center is looking into the possibility of adding financial records in the near future.

We are very excited to welcome Tidewater Finance and The Pruden Center to the DOMA team and look forward to establishing a great and long business relationship.

Dolly has been with the DOMA family for over 6 years. She has worked a variety of projects in the Conversion department and has recently been selected for our Conversion Federal Assignments.

In the month of June, Dolly scanned 25,763 images for VA Prosthetics. She also scanned 1,715 pages for Health Net PC3 in 4 days!

Dolly’s reliability, positive attitude, and dedication are just a few of the reasons she has been selected to be this month’s Conversion RockStar!

Our data center providers along the East Coast are fully prepared for the potential effects of Tropical Storm Arthur, which is expected to remain just offshore and move east of the east-central coast of Florida during the next 48 hours.

The DOMA Support Team will monitor weather conditions closely and provide updates if conditions require.

To prepare for the potential severe weather, our facilities in Richmond, VA and Atlanta, GA have full fuel loads in the generators and have dual source priority fuel agreements in place. All locations are capable of operating for several days on the current fuel loads and have staffing contingency plans in place for Facilities, Data Center Operations, and Security staff should they be required.

Please monitor local weather providers for detailed information in your area, and use caution when traveling during any potential severe weather.

Mandi (Amanda Attaway) comes from a family of 3 girls born and raised in Georgia, she’s the middle child and was the first to move away from their home state! Mandi graduated from Georgia Medical Institute in 2001 and worked as a Medical Assistant at a Family Practice for 10 years prior to moving to Virginia, about 3 years ago, with her son. Here, she met her now husband and 2 kids (who happen to be from Georgia as well). When not processing those medical record requests for our Veterans Mandi enjoys grilling out, going to the beach and spending time with her family.

"Mandi has been with DOMA since January 11, 2012, and became a part of the PMR team in September 2012. Her quality standards and attention to detail are exceptional which makes her a great asset to the team as those are crucial areas for the PMR program. Mandi has always been dedicated to the program and has grown so much over the past year and is now one of the most consistent top producers. In and out of work, she has a very caring and sweet personality and always stays positive. It is a pleasure to have her on the QA team."

It gives us great pleasure to announce that Ashleigh Tucker is our Conversion Rock Star for the month of June 2014! Ashleigh is one our more senior members of Conversion and the company, having been with the DOMA family for 8 years. In the month of May, Ashleigh scanned 50 boxes for CHKD. That amount is equal to 2,967 records or 113,661 images. This constitutes more than 1/5 of the department’s total for the month!

She participates in as many company events that take place as she can, some of which include potlucks, the costume contest (which she won), and the Chili Cook-off (once again on the winning team).

Ashleigh comes to work (even under severe weather conditions) with a positive attitude and a smile. She shares that positive attitude when volunteering for DOMA sponsored community services such as the Neptune Festival, CHKD Telethons, Wine Tastings, and most recently NASSC at the beach.

Ashleigh’s consistent participation, positive attitude, and community service are just a few of the reasons she has been selected to be this month’s Conversion RockStar!

Who placed 1st in the North America Sand Soccer Championships this past weekend.

After losing their first game, the girls managed to bring a victory home on their second and third ones. But it was after falling short and tying the last game when they received the news: “It is over”.

Having already left the beach and headed home, the team thought the weekend was over when the phone started ringing. They received a call that would keep the dream alive….they were still in the championship and they had to hurry back to the fields to keep playing for the title.

After a tie, the girls managed to score the victory goal bringing them the championship title and their fairy tale ending!

‘Assistant Account Manager’! Kristin joined DOMA at the beginning of the year and has since made a positive impact, becoming a valuable member to the DOMA team.

During her time as Front Office Assistant, Kristin took on many other responsibilities and tasks assisting Marketing, Sales and Operations. Not only did she embrace any new challenges thrown at her but she always did an excellent job.

Earlier this week, Kristin joined the Operations Department where she will be assisting the Project Management Office with new and existing account interactions, assisting in the set up and analysis of DOMA’s new document management software platform, assisting with the PMR project as well as assisting with other day-to-day account management operations.

the PMR Team had a Luau themed “Power Day” on May 21, 2014! The idea of a power day is to implement a little healthy competition through task specific rounds, handout prizes for the top producers in each round and for those with the highest quality standards, and boost morale with some fun luau themed attire! During this power day, the team worked so hard and produced some ridiculous numbers for our Veterans – here is a snapshot of the work accomplished on one day!

  • A total of 253 first calls were made to healthcare providers on behalf of Veterans who had submitted medical record release forms!
  • A total of 433 follow up calls were made to healthcare providers on requests we still have pending for previously processed medical release forms!
  • There were 185 responses from healthcare providers reviewed and queued up for quality review!
  • Our Quality Control Team reviewed 639 documents including medical record requests and responses from healthcare providers that will ultimately go into the Veteran’s E-File in support of their claim!
  • The team mailed out 166 letters to Veterans in support of their claims process!

For 4 consecutive weeks now Jamie has met & exceeded the QC error expectation of 5% and under, coming in at 4%. To put this into perspective this is roughly 26 total errors out of 671 documents she processed and countless indexes per document – this is AWESOME!

It gives us great pleasure to announce that Angelita Reyes is our Conversion Rock Star for the month of May 2014! Angelita has been with DOMA for 6 years. For the last 2 years, Angelita has not accumulated a single minute of unscheduled time off. She consistently comes to work with a positive attitude and is always willing to help others.

Recently, Angelita has been chosen to become one of a select few who are dedicated to Conversion’s federal projects such as Health Net – PC3, Veterans Affairs – AHCMS, Veterans Affairs – Pittsburgh Health System, and Veterans Affairs – PHS Prosthetics.

In the month of April, Angelita processed 1,921 records for Health Net – PC3 which equaled out to 3,860 images. She also prepped, scanned, and indexed 395 records for Veterans Affairs – Pittsburgh Health System which produced 12,150 images!

Angelita’s dedication, positive attitude, and superb attendance are just a few of the reasons she has been selected to be this month’s Conversion Rock Star!

Spring has finally arrived and so has our own DOMA Kickball team—Tech-Tonics!

DOMA Tech-Tonics hit the field for the first time earlier this month. After managing to score during the first game and getting destroyed on the second game against last years champions, DOMA came back strong last Friday, winning the first game of the season… even if it was by default!

“We are having a blast out on the field and very much look forward to Fridays and being able to share some laughs with the rest of co-workers we dont usually get to interact much with otherwise. It is great to see the support not only from the rest of teammates and family members but also from other DOMA employees that have come cheer us on”

Security Vulnerability in the OpenSSL Protocol

On Monday of this week, security researchers released details of a security vulnerability in the OpenSSL protocol.

The vulnerability, nicknamed “Heartbleed,” potentially allows an attacker to access information from a client or server’s memory. Over the past few days we have conducted internal tests and reviews to determine the risk to our customers.

As many of you are aware, our core applications that house customer data run on Microsoft Systems which were are not affected by the Heartbleed vulnerability. DOMA uses OpenSSL in a handful of systems supporting our cloud-based software applications; specifically our help desk portal and our help wiki. The help desk portal and help wiki do not use customer passwords, nor are they linked in any way to our customer applications. DOMA completed required upgrades to the help desk portal on Wednesday. Additionally, our intrusion prevention systems were updated with signatures required to detect vulnerability as they were released. The help wiki has been removed from service and should be updated and online in the next 24 hours.

While we believe our risk is minimal, we’ve taken proactive actions like most online providers are now doing. We have taken the steps to revoke all previously used SSL certificates and regenerated new certificates. In the meantime, we strongly advise customers to protect themselves from all potentially vulnerable sites (not just DOMA’s applications). As the large majority of secure websites will be regenerating new SSL keys in response to the Heartbleed vulnerability, please take the extra step to protect yourself and your organization by making sure your browser is configured to verify certificates for revocation, verifying the sites you use are safe, and by changing your passwords as needed. VBA Private Medical Records and Conversion employees of the month

Originally from right here in Virginia Beach, Sequoyah was the first person in her family to join the military, the Army National Guard in July 2010 where one of her most honorable moments was working the 2013 Presidential Inauguration! She is still in the National Guard today as a Military Police Officer. When not processing Veteran’s claims, Sequoyah likes to play basketball (I think shop as she is always fashionable and never wears the same outfit twice!

Sequoyah has been on the DOMA team and on the PMR Program since November 19, 2012. Since coming on board she has come a long way in the Claims Support role – learning all aspects of the contract, completing all tasks, embraced the transitions from one area to another, and has really grown into a professional key member of the PMR team!

Since joining the team Sequoyah has ‘touched’ over 19,000 documents including the QC of 14,729!

Here is what Sequoyah’s lead Irina had to say about her...

"Sequoyah is self-motivated and hardworking. She has great knowledge of the whole PMR process, which enables her to take on any challenge and switch tasks at any time. Her competitive nature only pushes her to do better. She is always the first one to volunteer to work overtime and on weekends. It gives us great pleasure to announce that Marvin Hall is our Conversion RockStar of the Month!

Marvin is one of the newer members of Conversion, having only been with DOMA for 2 ½ years. In that time, he has exhibited a strong aptitude for our processes and an excellent attendance record.

His first project was Suffolk Public Schools Archive records, a challenge for even some seasoned members. He’s gone on to work other site projects such as CHKD, Health Net Outpatient Recovery, First Choice, and more recently VDOT.

On top of working some of our more unconventional projects, Marvin is usually one of the first people to volunteer for special projects such as an overnight pick-up from St. Joseph’s Medical Center, assisting our partner Eggleston for several months off-site, and placing himself in the VDOT project’s 2nd shift rotation.

Besides being the first in the VDOT 2nd shift rotation in the month of March, Marvin scanned 821 records for Health Net and 558 records for First Choice, which completed the current First Choice cycle for a total of 12,916 records and 191,697 images for the project.

Marvin’s dedication and willingness to take on special assignments is the reason he has been selected to be this month’s Conversion RockStar!

Chandler joined the DOMA team in 2005 as a Senior Network Engineer. His Technical knowledge, expertise and positive attitude quickly made him become a valuable member of the DOMA family. After only three months as a Senior Network Engineer, Chandler was promoted to Director of Information Technology Services, responsible for the Information Technology (IT) Department. As the IT Director, Chandler has been in charge of the maintenance, internal support and end-user customer support for DOMA’s cloud-based Document Management Application.

Chandler has always demonstrated a quality of dedication to our many customers including, but not limited to the U.S. Army, Dept. of Veterans Affairs, TRICARE – Health Net Federal Services, CHKD, INOVA Health Systems, and Cox Communications. As the decision maker for all product and infrastructure technology, Chandler has been in a key player in the support for all information technology infrastructures and continues to contribute to DOMA’s success.

His outstanding performance throughout the years at DOMA brings him to this new exciting step in his career as Chief Technology and Information Security Officer (CTISO). Chandler brings to this new role over fifteen years of experience in most areas of Information Technology including, but not limited to Customer Support, Desktop/Application Support, Enterprise Server/Storage, Information Security and Personnel Management among others.

As Chief Technology and Information Security Officer, Chandler will be responsible for assuring the successful execution of the company’s vision through development and deployment of the company’s cloud-based technology. In addition, the CTISO’s role is to provide vision and leadership for developing and implementing information technology initiatives and security programs, planning and implementing secure enterprise IT systems in support of business operations in order to improve cost effectiveness, lead research and development (R&D), and monitor technology and social trends that could impact the company.

Tess has been with us since 08/2011. I’d have to say her attention to detail is her most shining attribute as she always ensures she is 100% comfortable and always asks any questions necessary to ensure the job is done accurately! We always brag about Tess’s phone ‘skills’ and how she handles herself while speaking to providers and encourage the rest of the team to shadow and listen to her as she sticks to the scripts! Tess also remains positive in our always changing environment and doesn’t allow the stress to get to her – she always maintains her go with the flow attitude which isn’t always easy!

"Tess is a team player and has great interpersonal skills. Through her time being on the PMR program, her attention to detail and thoroughness enabled Tess to develop her own system of working, which we all find very useful when training new hires and Tess is one of the *go to* people if anybody has any questions. It gives us great pleasure to announce that Erica Stevenson is our March 2014 Conversion RockStar of the Month!

Erica is one of Conversion’s most senior members. She has been with DOMA Technologies for 6 ½ years and in that time, Erica has had a hand in most projects that have come through the department. Because of her extensive experience, she is typically one of the first individuals to volunteer for special scan projects that arise, including offsite projects such as First American Title. Some of the special projects that Erica has worked include EVMS Financial, VA AHCMS, VA Prosthetics, WAARNG, and more recently she was one of the first people to be selected on the new VDOT project.

In the month of February, Erica prepped, scanned, and indexed 1,118 records (10,444 images) for EVMS FN, 1,458 records (13,637 images) for VA Prosthetics, and has updated over 16,000 images for the WAARNG project.

It is because of Erica’s aptitude with multiple projects, experience with varying processes, and her willingness to be a team player that she is recognized as this month’s Conversion Rock Star!

DOMA is putting together a team for Linkhorn elementary’s Field Day (June 10th). Volunteers will run games like sack races, ring toss, relay races, etc (there will also be some games in the gym for any volunteers that can’t be outside).

Volunteers can work all day or one of the shifts. The hours are as follows:

  • All day— 8:30 a.m. (earlier if willing to help set up) to 3:30 p.pm. (Lunch will be provided for those volunteering all day).
  • Morning Shift— 8:30 a.m.- 12:30 p.m.
  • Afternoon Shift— 12:45 p.m. -3:30 p.m.

The annual Norfolk Sertoma Spring Fever is the premier spring celebration that allows our community to gather in a festive atmosphere while contributing directly to Norfolk Sertoma sponsorship projects.

Many party-goers simply refer to this day of fun and good company as “the great barn party.” This AYCEDD (all-you-can-eat, drink, and dance) event features popular bands. Tickets include beer, top-shelf spirits, and excellent food prepared and served by club members—favorites like beef tenderloin, pork barbecue, potato salad, coleslaw, hush puppies, fried trout and clam chowder.
